Job Summary

LHH Recruitment Solutions is partnering with a company in Queen Creek, AZ to find an Administrative Assistant/Project Coordinator. The ideal candidate has experience with creating and tracking purchase orders, and accounts payable.

Key Responsibilities
  • Purchase Order Management
    • Generate and manage purchase orders based on department requisitions, ensuring accuracy in terms of pricing, quantity, and vendor details.
    • Collaborate with department managers to verify purchase requirements and obtain approvals as necessary.
    • Maintain records of all purchase orders and ensure proper documentation is attached.
  • Vendor Management
    • Build and maintain positive relationships with vendors to ensure smooth purchasing processes.
    • Resolve any discrepancies in orders, delivery issues, or invoice conflicts with vendors.
    • Obtain and review quotes from vendors to ensure cost-effectiveness and quality.
  • Accounts Payable Processing
    • Review, verify, and process incoming invoices for goods and services against corresponding purchase orders.
    • Ensure accurate coding of invoices to the appropriate general ledger accounts.
    • Prepare and execute payments to vendors by check, electronic funds transfer (EFT), or other payment methods in a timely manner.
  • Invoice Matching and Reconciliation
    • Perform 3-way matching of purchase orders, receiving reports, and vendor invoices to ensure proper documentation and resolve any discrepancies.
    • Reconcile vendor statements and address any payment issues or discrepancies.
Requirements
  • 2+ years of purchase orders and/or accounts payable experience
  • High School Diploma is required
  • Bilingual in Spanish preferred not required
