Job Title: Administrative Assistant

Reports To: Executive Director and Director of Operations

FLSA Status: Non-Exempt

Hours: 37.5 hours non-exempt staff position. Some evening/weekend flexibility required for center special events.

Benefits: Health insurance, PTO, holiday pay, 401K

Summary: Responsible for providing support to the executive director, admin staff and supporting Center programs and activities.

Salary: $39,000 - $40,000

Duties and Responsibilities:
  • Assists with general office duties as deemed necessary by executive director or other administrative staff.
  • Supports the development of written documents, including newsletters, fund appeals, and grant applications.
  • Inputs data for reports to provide program support.
  • Assists with ordering supplies and maintaining inventory.
  • Develops forms, flyers, and other required documents.
  • Contacts individuals to handle maintenance and repair of equipment.
  • Helps plan and organize special meetings, events, board meetings, and other special events.
  • Takes notes or minutes of meetings.
  • Supports program staff to ensure safe operations of the Center.
  • Performs all other duties as assigned by the executive director or administrative staff.

Essential Functions:
  • Computer Skills:
    • To perform this job successfully, an individual should have a strong knowledge of Microsoft office suite including excel.
    • Willingness to learn additional software programs as necessary to support Center function.
    • Be an accurate typist and proofread documents to ensure accuracy.
  • Language Ability:
    • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
    • Ability to write reports, business correspondence, and procedure manuals.
  • Math Ability:
    • Ability to calculate figures and amounts such as discounts, interest, proportions, percentages using a calculator.
  • Reasoning Ability:
    • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Education/Experience:
    • Associate's degree (A. A. / A. S.) or equivalent from two-year college or technical school; or equivalent combination of education and experience.
  • Certificates and Licenses:
    • Valid driver's license and transportation to work site or meetings.
    • Ability to pass background check.
