Job Overview

Objective:
This role is essential as the Healthcare Administrative Coordinator will collaborate closely with a dedicated team of holistic health and wellness professionals within an integrative medicine practice. The position involves providing client-facing assistance at the reception area, managing various administrative responsibilities related to the practice, and contributing to a cooperative environment that values honesty and integrity.

Key Responsibilities:
- Input incoming laboratory results and consistently update patient records.
- Prepare charts for practitioners' upcoming appointments and coordinate with team members for necessary chart preparation.
- Execute tasks assigned by our health practitioners.

- Manage incoming phone calls and return missed calls promptly within the next business day.
- Respond to emails and other correspondence within 24 hours during business hours.
- Document all ongoing tasks from patient communications in the tracking system for progress monitoring and completion.
- Facilitate patient check-ins and check-outs, process payments, and schedule follow-up appointments.
- Send documents via fax as required.
- Process supplement orders from patients and package them for shipment.
- At the end of each workday, identify two tasks to prioritize for the following business day.
- Ensure the cleanliness of office spaces, including floors, desks, and waiting areas.

Work Environment:
- Integrative Medicine practice

Weekly Schedule:
- Standard business hours are Monday through Thursday, from 8 AM to 4 PM on most days.

Compensation:
$16 - $17 per hour, depending on experience.

Qualifications:

Required:
- Proficiency in Google Suite (Drive, Docs, Sheets, Slides)
- Familiarity with Microsoft Office (Office 365, Outlook, OneDrive)

Preferred:
- Experience with Slack
- Knowledge of Zoom
- Familiarity with Cerbo (EMR)

Essential Qualifications:
- Minimum of 1 year in customer service or a similar client-facing role
- Proficient in using modern technology (laptops/computers, various software)
- Strong organizational skills and a passion for task management
- Excellent follow-through capabilities
- Self-motivated and able to work independently

Desirable Qualifications:
- Interest or experience in integrative medicine or natural healing
- Experience with Cerbo (EMR)
