Position Overview:

The role involves greeting patients upon arrival, facilitating the check-in process by confirming patient identity, contact information, and ensuring that all necessary insurance details and demographic data are accurately entered into the Epic EMR system.

It is essential to verify that prior authorizations for appointments are secured before patients are seen. Responsibilities include obtaining required signatures and collecting co-payments. The individual will also balance daily payment entries with the computer totals for all patient account activities. Discussing account balances with patients during check-in and/or check-out is a critical task. Additionally, scheduling follow-up and referral appointments at the time of patient check-out is required. The position also entails managing no-show appointments to ensure patients remain engaged in their care.

Effective communication is key, as the role involves answering phone calls and managing interactions with patients, healthcare providers, staff, insurance companies, and other external entities. Accurate documentation and message relay through the Epic EMR system to the Physicians and Patient Care team are vital. The individual will manage patient schedules and handle incoming and outgoing referrals, as well as obtain insurance authorizations for specialized testing while monitoring Epic work queues and following up with external offices to secure timely appointments for patients.

Demonstrating strong verbal and nonverbal communication skills is essential. Responsibilities also include scanning documents, monitoring incoming faxes, and performing various administrative tasks as assigned by the supervisor. Maintaining a clean and safe environment for both patients and staff is crucial. The ability to multitask and stay organized is necessary, along with upholding patient confidentiality and ensuring compliance with HIPAA and regulatory standards. Collaboration with CIOX for the timely release of information requests is also part of the role. Other duties may be assigned within the scope and standards of practice.

Required Qualifications:
An Associate's Degree or relevant college coursework along with two years of experience in administrative or office management roles is required. Equivalent combinations of education and experience will be considered.

Preferred Qualifications:
Proficiency in computer applications, self-motivation, and a friendly, outgoing demeanor with exceptional customer service skills are essential. Familiarity with various health insurance plans is preferred. Experience as a Medical Office Receptionist, particularly in an OB GYN setting, is advantageous. Previous experience with Epic EMR is also preferred.

Work Schedule:
Typical workdays are Monday through Friday, with shifts from 8:00 am to 4:30 pm, although variations may occur.
