Job Summary

We are seeking an Administrative Assistant to provide administrative support for the Lebanon API Operation. The successful candidate will be responsible for facilitating communications, handling customer inquiries, and maintaining daily calendars of leaders.

Key Responsibilities
  • Facilitate communications within and outside the department, including the preparation of presentations and meeting minutes.
  • Handle customer inquiries and requests.
  • Maintain daily calendars of leaders, including schedule ad hoc and/or recurring meetings.
  • Update and maintain the area's shared information, including publishing of monthly metrics and reports.
  • Process accounts payable invoices.
  • Sort and distribute mail within the area.
  • Coordinate office moves for employees.
  • Operate and maintain a variety of office equipment.
  • Perform general administrative tasks, such as faxing documents and photocopying.
  • Order and maintain an inventory of office supplies.
  • Support travel arrangements.
  • Act as a liaison for computer and software requests and issues.
  • Serve as backup for other administrative personnel.
  • Participate in administrative projects specific to the areas of support.
Requirements
  • Strong computer skills with proficiency in MS Word, Excel, and PowerPoint.
  • Ability to work independently with minimal supervision.
  • Ability to effectively communicate, both written and verbal, across all levels and functions.
  • Strong organizational skills.
  • Ability to manage and prioritize multiple projects and requests.
  • Ability to solve problems and troubleshoot issues.
  • Strong attention to detail.
Preferred Qualifications
  • Previous administrative assistant experience.
Education Requirements
  • High school diploma.
