Job Description

We are seeking a highly organized and detail-oriented Office Administrator to join our team at NewCold. As an Office Administrator, you will be responsible for providing administrative support to our operations team, ensuring the smooth day-to-day functioning of our office.

Key Responsibilities:
  • Oversee general office operations, including answering and directing phone calls, managing incoming packages, and maintaining inventory of office supplies.
  • Provide administrative support to the finance team, including processing invoices and preparing month-end reports.
  • Coordinate meetings, events, and conferences, including creating agendas, taking notes, and preparing materials.
  • Manage employee files, including creating and maintaining hard copy files, labeling, and organizing.
  • Process accounts payable, including scanning, emailing, and filing invoices.
  • Communicate with vendors to obtain W9 and ACH information for accounts payable.
  • Perform other administrative tasks as needed, including creating purchase orders, change order requests, and credit card expense reports.
Requirements:
  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • Minimum 2 years of experience in an administrative role, preferably in a fast-paced office environment.
  • Excellent communication and organizational skills, with the ability to multitask and prioritize tasks effectively.
  • Proficient in Microsoft Office, including Word, Excel, Outlook, and Teams.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
