Position Overview
We are currently seeking a skilled Executive Assistant to support our government contract operations. The Executive Assistant will deliver comprehensive administrative support to executives, including:
  • Managing schedules and coordinating meetings and events.
  • Handling correspondence and performing various administrative tasks to ensure efficient office operations.

Key Responsibilities
The Executive Assistant will serve as the primary administrative contact for directors and government personnel within a sensitive compartmented information facility (SCIF). Responsibilities include:
  • Monitoring access to the SCIF and maintaining essential logistics and security protocols.
  • Answering phones, organizing office files, and tracking action items in the suspense portal.
  • Providing staffing support for correspondence actions, including formal letters, memoranda, briefing packages, reports, and travel documentation.
  • Routing materials to appropriate offices and managing incoming and outgoing correspondence.
  • Ensuring timely and professional management of the leadership's daily calendar.
  • Arranging meetings, conferences, and video teleconferences, including minute-taking and maintaining attendee contact lists.
  • Assisting with the onboarding of new personnel, including security training and computer support.
  • Coordinating travel arrangements for staff and assisting with travel reports and vouchers.
  • Conducting inventory, ordering supplies, and managing office deliveries.
  • Developing and updating standard operating procedures for the office.
  • Managing the allocation of physical office space.

Required Qualifications
To be considered for this role, candidates must possess:
  • An active Top Secret clearance with SCI.
  • A high school diploma and a minimum of five years of demonstrated administrative experience within the Department of Defense.
  • Strong oral and written communication skills.
  • Proven experience in an executive assistant or similar capacity.
  • Exceptional organizational and time management abilities.
  • The capability to multitask and prioritize effectively in a dynamic environment.
  • A high level of professionalism and discretion.
