Creative Financial Staffing is representing a prominent organization in the environmental sustainability sector seeking a skilled Accounts Receivable Supervisor to enhance their team.
  • The Accounts Receivable Supervisor will oversee and guide the operations of the Billing and Accounts Receivable division for a reputable construction firm.
  • This role involves managing a high volume of transactions across multiple divisions.

Key Responsibilities:
  • Directs the Accounts Receivable team responsible for billing and collections, generating necessary reports as required.
  • Ensures the accuracy and timely preparation of client invoices.
  • Facilitates training initiatives for new hires and identifies ongoing training needs for existing staff.
  • Guarantees the prompt completion and distribution of customer invoices.
  • Conducts audits as necessary or as requested by division leaders, accounting manager, or CFO.
  • Manages the collection process, regularly reviewing accounts receivable aging to ensure timely payments. Documents collection calls within the ERP system and sets collection targets for the team, monitoring progress weekly.
  • Investigates customer discrepancies and overdue amounts, assigning collections to appropriate team members for swift payment resolution.
  • Makes informed decisions regarding account activities in line with established authority levels, consulting with division leaders on matters affecting customer relations.
  • Escalates unresolved issues promptly and recommends solutions to mitigate future challenges.
  • Prepares reports and conducts root cause analyses to keep the Controller informed of results and opportunities to reduce outstanding receivables.
Additional Responsibilities:
  • Collaborates with other department leaders as necessary.
  • Maintains and updates customer account records in the required software, adding new clients and revising existing client information.
  • Processes contracts, lien waivers, and insurance documentation.
  • Ensures the Accounts Receivable team issues credit and debit memos in accordance with company policies and guidelines.
  • Ensures compliance with local, state, and federal regulations.
  • Assists with additional tasks and special projects as assigned by the Accounting Manager.
  • Performs other related duties as required or assigned.
Success Metrics:
  • Maintains overdue invoices at a maximum of 3 Days Sales Outstanding (DSO).
  • Ensures a stable billing and collections workforce.
  • Achieves a very low error rate in invoicing (specific rate to be determined) and resolves discrepancies immediately with the assistance of division managers.
Required Skills and Qualifications:
  • Prior experience in Accounts Receivable management is preferred.
  • Strong written and verbal communication abilities.
  • Excellent organizational and time management skills.
  • Proficient in Microsoft Office Suite or similar applications.
  • Experience with large-scale ERP systems.
Education and Experience:
  • A minimum of 4 years of relevant experience is required.
