Administrative Coordinator

We are seeking a detail-oriented and highly organized individual to join our dynamic team as an Administrative Assistant. This role will be responsible for managing office operations, providing administrative support, and ensuring the smooth functioning of our Miami Shores or Medley office.
Main Responsibilities:
- Provide general administrative assistance, including answering phones, scheduling appointments, organizing meetings, and managing correspondence.
- Prepare, file, and maintain office documents and records (physical and electronic), ensuring they are easily accessible when needed.
- Coordinate office supplies, order new inventory, and ensure the office environment remains clean and organized.
- Greet and assist visitors, clients, and customers with a professional and friendly demeanor.
- Input and maintain data in various software systems, generate reports, and assist with other clerical tasks as needed.
- Manage calendars for executives or team members, schedule meetings, and book travel arrangements when necessary.
- Assist in various ad-hoc projects and tasks, ensuring timely completion and accurate documentation.
- High school diploma or equivalent (Associate's degree preferred)
- Proven experience as an administrative assistant or in another relevant administrative role
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong verbal and written communication skills in English & Spanish
- Excellent organizational skills and attention to detail
- Ability to handle sensitive and confidential information
- Strong time management skills and ability to prioritize tasks
- Ability to work independently and as part of a team
- Previous experience in a fast-paced environment is a plus
