Job Title: Construction Administrator

Concentric LLC is seeking a highly organized and detail-oriented Construction Administrator to provide project coordination support across multiple jobs. The successful candidate will be responsible for preparing job packets and closeout documents, monitoring quoted versus actual job performance, distributing project documents as needed, and identifying trends to eliminate potential patterns of recurrence that may significantly affect job profitability.

Key Responsibilities:
  • Process new project orders and coordinate new job kickoff meetings.
  • Act as the main point of contact for Construction Management Field Supervisors for clerical support, including daily reporting of job performance, verifying that all materials are on order for assigned jobs, and working with other internal departments to ensure jobs are completed on-time and on budget.
  • Responsible for sending out Weekly Customer Job Updates for every open job.
  • Maintain accurate (live) crew schedule and keep Field Supervisors up to date (sometimes daily) on any changes.
  • Responsible for accurate and timely completion of job Closeout Packages. Works with Project Lead to prepare and collect final job signoff and Close Out job packets.
  • Works with AP and procurement to seamlessly process contractor invoices, issue POs, submit requests to invoice the customer.
  • Supports Construction Management Field Supervisors as backup POC between field management, Corporate and Customer for open jobs.
  • Ensures Daily Job Statuses are being submitted and reviewed for any issues, abnormalities, or additional material so not to stop a job.
  • Submits all MOPs and change requests, completed by Lead, Supervisor or Engineer, obtain approval, and deliver to Lead for preparation of hot work schedule.
  • Other duties as assigned by supervisor.
Requirements:
  • Minimum of 3 years project coordination experience.
  • Construction or Telecom Background preferred.
  • May require working knowledge of Procore and/or project management software.
  • Must have solid construction experience or strong technical aptitude to understand job scopes.
  • Knowledge and understanding of project monitoring, reporting systems, and logistics.
  • Must be very detail oriented and possess multi-tasking capabilities to effectively work under tight deadlines.
  • Strong project coordination or management experience and organizational skills.
  • Requires excellent verbal, written communication skills & customer relation skills.
  • Must be able to provide a high level of quality customer service to perform as a company liaison during job.
  • Ability to work independently and set own daily goals.
  • Strong knowledge of general computer hardware & software applications, especially Microsoft products including SharePoint, Excel, and Word. Ability to quickly master new applications and software necessary to work with customers.
