Position Overview:

The Retail Operations Assistant Manager plays a crucial role in ensuring that the store excels in customer satisfaction, inventory oversight, and administrative tasks while guiding store staff. Key duties encompass managing purchase orders, engaging with suppliers, monitoring deliveries, and maintaining inventory levels, alongside quality control and collaboration with inventory teams and management.

Compensation:
The hourly wage for this position is $25.50.

Key Responsibilities:

Deliver exceptional customer service, which includes but is not limited to:

  • Demonstrating meticulous attention to detail
  • Welcoming and assisting customers
  • Verifying requisition forms for completeness (signatures, timestamps, part numbers, descriptions, and quantities)
  • Providing information on part availability
  • Asking pertinent questions to ensure accurate part identification
  • Inspecting equipment as needed to aid in parts research
  • Utilizing vendor and manufacturer resources for parts procurement
  • Responding promptly to all communications (phone/email)
  • Contacting vendors for pricing and order placement
  • Notifying customers when requested parts are in stock
  • Coordinating emergency parts pickups with Counter/Driver personnel
  • Conducting past sales research using the inventory system
  • Checking parts availability across all locations
  • Requesting parts transfers or information from other locations
  • Reviewing the Product Group Catalog to ensure compliance with purchasing guidelines
  • Familiarizing with and adhering to company SOPs, Supervisor Manual, and Safety Manual

Purchasing and Warranty Management:

Responsibilities include:

  • Assessing specifications for accuracy
  • Conducting inventory reviews and cost analyses
  • Maintaining stock levels through timely purchase orders
  • Acting as a liaison between vendors and the Accounts Payable Department to resolve invoicing discrepancies
  • Coordinating emergency purchases with suppliers
  • Evaluating vendor pricing for better opportunities
  • Building strong supplier relationships and negotiating favorable pricing
  • Processing requisitions and updating management on order statuses
  • Tracking inventory discrepancies and special orders
  • Participating in weekly meetings to discuss open order statuses
  • Analyzing market trends for informed purchasing decisions
  • Collaborating with inventory teams and management as needed
  • Completing related projects and duties as assigned

Reporting Requirements:

Generate and manage essential reports, including:

  • Invoice generation and distribution for materials
  • Daily Ticket Summary report preparation
  • Reviewing and addressing items on the PT/OP Bin check report
  • Managing the Inactive Item Report
  • Providing backup documentation for all corporate credit card purchases

Data Entry and Inventory Management:

Responsibilities include:

  • Ensuring accurate invoicing of customer requisitions in the inventory system
  • Properly entering vendor receiving documents
  • Processing inventory transfer requests
  • Generating new item numbers following established guidelines
  • Conducting weekly inventory cycle counts and investigating discrepancies
  • Monitoring inventory bin assignments for accuracy
  • Reviewing sales history for appropriate stock sourcing
  • Meeting with representatives to discuss future stocking needs
  • Processing transfer requests from other locations
  • Conducting comprehensive inventory assessments as needed

Additional Requirements:

Adhere to guidelines for vehicle and equipment maintenance, provide 24-hour support during emergencies, assist with inventory research projects, participate in ongoing training programs, and supervise and train assigned personnel.

Qualifications:

  • 1 year of computer experience
  • 3 years of experience in auto or heavy-duty truck parts
  • 1 year of inventory management experience
  • 1 year of customer service experience
  • Availability for 24-hour support
  • Valid driver's license with a minimum of 2 years of driving experience
  • Ability to obtain and maintain a forklift trainer certification

Preferred Qualifications:

  • Current COVID-19 vaccination

Physical Requirements:
Medium work - exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.

Work Environment:
Work primarily occurs in an office setting, with some tasks performed in storerooms and warehouses that may have varying temperatures and conditions. Travel to various sites may be required.
