Lead Administrative Operations Specialist

$26.13/hour

This is a non-exempt (hourly) role.

Compensation is determined by educational background, skill set, experience, and internal equity considerations.

This position requires on-site presence five days a week.

Position Overview

Execute progressively responsible administrative, clerical, and technical tasks. This role is integral to the Public Health Executive Administrative Support Team.

Key Responsibilities

  • Provide comprehensive administrative assistance to the Public Health Deputy Director.
  • Address inquiries and resolve administrative challenges as they arise.
  • Draft written communications, including memos, emails, presentations, forms, and other documentation.


  • Coordinate meetings, interviews, and assist in program preparations.
  • Prepare, develop, or maintain reports, manuals, or interview materials.
  • Conduct moderately complex research tasks.
  • Perform confidential data entry, create, organize, and maintain files.
  • Manage supply levels and order necessary stock.
  • Utilize computers for various operations, including database management.
  • Answer phone calls or greet visitors, directing inquiries to the appropriate personnel as needed.


Operate Office Equipment:
Utilize fax machines, copiers, and phone systems, arranging for repairs when equipment malfunctions.

  • Establish and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents such as correspondence or other materials.


  • Compose, type, and distribute meeting notes, agendas, routine correspondence, or reports, including presentations or expense, statistical, or monthly reports.


  • Some roles may require providing general guidance and direction to junior staff.

Minimum Qualifications

Experience:


At least four years of administrative experience.

Education:

High School Diploma or equivalent.
Combination of relevant education and experience accepted?: Yes

Licenses and Certifications

  • Possession of a valid North Carolina or South Carolina Driver's License may be required.
  • County Driving Privileges may be necessary.

Preferred Qualifications

  • Experience in executive-level administrative roles or equivalent.

Computer Skills

  • Data entry.
  • Intermediate proficiency in various computer applications.
