Compensation:

$16 - $20 per hour, based on experience

Key Responsibilities:
  • Serve as the primary contact for senior executives
  • Oversee office operations, including organizing filing systems and managing office supplies
  • Ensure timely completion of basic bookkeeping tasks
  • Assist executives with various tasks, including personal errands and order pickups
  • Organize and relay incoming communications such as calls, emails, and memos to executives
  • Maintain information flow through efficient systems
  • Prepare daily updates for the CEO, including reminders and inquiries
  • Communicate effectively with the leadership team to relay important details and actions
  • Support the CEO in managing their professional calendar, travel arrangements, and business correspondence
  • Oversee daily operations of the Matt Smith Real Estate Group
  • Facilitate administrative support for executive meetings and offsite events, including sharing updates and preparing necessary materials
  • Manage office functions such as mail sorting, supply ordering, and meeting setups
  • Document meeting notes and follow up on action items
  • Handle sensitive and confidential information with discretion
  • Ensure compliance with company policies and procedures
  • Perform various administrative tasks and special projects as needed
  • Coordinate and support events for clients, vendors, and team members
Qualifications:
  • Minimum of 2 years in a personal or executive assistant role
  • High school diploma or equivalent required
  • Ability to meet deadlines and manage confidential information
  • Proficient in Microsoft Office
  • Strong communication, time management, interpersonal, and organizational skills
  • Preferred experience in an operational support role
  • Resourceful and persistent in problem-solving
  • Ability to remain composed under pressure
  • Technologically savvy; proficient in Google G-Suite, Slack, Calendly, and other relevant applications
  • Big-picture thinker with foundational knowledge of the organization
  • Exceptional prioritization, multitasking, and organizational skills
