Job Overview:
As a pivotal member of the sales team, you will execute all administrative and service tasks essential for the success of the sales department.

Key Responsibilities:
1) Manage incoming communications via phone and email.
2) Provide clients with detailed information regarding food & beverage options, services, venue arrangements, and vendor selections.
3) Assist Sales Directors by addressing general inquiries, preparing essential sales documents (including proposals, contracts, and presentations), and engaging in follow-up activities.
4) Foster and maintain positive, professional relationships with clients through effective and timely communication.
5) Support the creation, updating, detailing, and distribution of proposals.
6) Oversee the Salesforce Delphi and Rover database, ensuring accurate entry of leads, contacts, activities, and customer profiles.
7) Manage deposit schedules for social events and group bookings.
8) Prepare group resumes and review sales turnover reports before catering distribution.
9) Coordinate details for large restaurant parties and assist clients in finalizing event specifics.
10) Conduct site tours for clients as requested by the Sales or Catering Directors.
11) Prepare internal communications and participate in meetings professionally.
12) Assist in planning and servicing internal events.
13) Deliver exceptional guest service across all business aspects.
14) Update sales and marketing databases while ensuring data security and confidentiality.
15) Maintain a safe and secure working environment.
16) Perform additional duties as assigned.

Secondary Responsibilities:
1) Execute office and administrative tasks to support the sales team.

Qualifications:
Essential:
1) High school diploma.
2) Two years of experience in a Catering & Sales or Food & Beverage Coordinator role, preferably within a luxury hotel or resort environment.
3) Familiarity with various food service styles.
4) Proficient communication skills in English with guests, management, and colleagues.
5) Ability to provide clear and legible communication.
6) Basic mathematical computation skills.
7) Proficient in Microsoft Word, Excel, PowerPoint, and Delphi.

Desirable:
8) College degree in Hospitality or Culinary Management.
9) Previous supervisory experience in banquets, catering, or food & beverage.
10) Experience with Micros and RoomKey systems.
11) Certification or training in liquor, wine, and food service.
12) Previous culinary training.
13) CPR certification.
14) Proficiency in a second language, preferably Spanish or Creole.

9) Flexibility to work evenings, weekends, and holidays.
