Position Overview:

The Sales Support Specialist is tasked with delivering administrative assistance to the Sales & Marketing Division, while also contributing to business growth and sales for various events, including tradeshows, conferences, and local bookings. Under the guidance of the Director of Sales & Marketing, this role will also provide support to the Associate Director of Sales and Sales Managers, facilitating the coordination of venue space licensing and event bookings. This position requires a professional demeanor in customer interactions, responding to inquiries, managing prospecting efforts, and conducting venue tours.

Key Responsibilities:

  • Administrative Duties:
    Manage the scheduling calendar and CRM system, ensuring all booking activities are accurately recorded.
  • Generate regular updates for the Calendar of Events.
  • Handle booking inquiries from various sources and assist clients with their event needs.
  • Serve as the primary contact for date and space requests from other departments.
  • Support the Sales Managers in tracking applications, contracts, and payments.
  • Maintain organized digital filing systems for client sales documentation.
  • Assist in preparing contracts and related documents.
  • Respond to incoming communications directed to the Sales Department.
  • Coordinate planning meetings and site visits.
  • Perform various administrative tasks, including managing lease agreements and attending sales meetings.
  • Enhance operational efficiency by streamlining processes and improving customer service.

Technology Management:

  • Oversee bookings within the designated CRM platform.
  • Optimize data management and digital integrations for lead generation.
  • Implement digital selling strategies and utilize AI tools for sales enhancement.

Reporting Responsibilities:

  • Compile and prepare sales reports and revenue forecasts.
  • Assist in creating presentations and tracking sales performance metrics.
  • Administer post-event surveys and feedback collection.

Client Relationship Management:

  • Build and maintain relationships with clients and industry stakeholders.
  • Engage in sales prospecting activities.
  • Collaborate with clients to meet their event requirements effectively.
  • Facilitate site visits for event planners.
  • Participate in relevant industry meetings and events.

Qualifications:

  • Bachelor's degree in a relevant field such as hospitality management or business administration.
  • At least two years of experience in an administrative support role, preferably in a sales environment.
  • Strong communication and negotiation skills.
  • Bilingual proficiency in English and Spanish is preferred.

Skills Required:

  • Excellent organizational and planning abilities.
