ROLE SUMMARY:
This position is responsible for executing various administrative and service tasks to bolster the sales team.
KEY RESPONSIBILITIES:
As a Sales Support Specialist, your duties will include but are not limited to:
1) Managing incoming calls and emails efficiently.
2) Offering clients comprehensive information regarding our offerings, including food & beverage options, services, and venue details.
3) Assisting Sales Directors by addressing inquiries, preparing essential sales documents (proposals, contracts, presentations), and conducting follow-ups diligently.
4) Building and maintaining positive relationships with clients through effective communication and reliable service.5) Assisting in the creation, updating, and distribution of proposals while managing our database systems, ensuring accurate entry of leads and client information.
6) Overseeing deposit schedules for events and groups.
7) Preparing group resumes.
8) Reviewing turnover reports from sales directors prior to catering discussions.
9) Coordinating details for large restaurant parties.
10) Engaging with clients to finalize event specifics and scheduling vendors.
11) Conducting site tours for clients as requested.
12) Preparing internal communications and participating in meetings with professionalism.
13) Supporting the planning and execution of internal events.
14) Delivering exceptional guest service across all business areas.
15) Updating sales and marketing databases regularly.
16) Ensuring the confidentiality and security of sensitive information.
17) Maintaining a safe and secure workplace.
18) Performing additional duties as assigned.
ADDITIONAL FUNCTIONS:
1) Carrying out office and administrative tasks to assist the Sales team.
Qualifications
MINIMUM REQUIREMENTS:
To excel in this role, candidates should possess the following qualifications:
1) High school diploma or equivalent.
2) A minimum of two years' experience in a similar role within a luxury hotel or resort environment.
4) Proficient communication skills in English, both written and verbal.
5) Ability to provide clear and legible communication.
6) Basic mathematical skills.
7) Strong computer proficiency, particularly in Microsoft Office Suite and relevant database systems.
PREFERRED QUALIFICATIONS:
1) A college degree in Hospitality or Culinary Management is desirable.
2) Previous supervisory experience in catering or food & beverage services.
3) Familiarity with Micros and RoomKey systems.
4) Certifications in food service and alcohol management.
5) Any culinary training or certifications.
6) CPR certification is a plus.
7) Proficiency in a second language, preferably Spanish or Creole.
