GENERAL JOB OVERVIEW

As a vital member of the Wealth Management Team, you will oversee client account services, manage new business initiatives, facilitate account establishment, and address overall client service inquiries. You will also provide guidance, training, and mentorship to new members of the Client Service team regarding various client requests and decisions pertinent to MAI Wealth Management clients.

KEY RESPONSIBILITIES
  • Oversee the training, coaching, and evaluation of new Client Service Specialists' performance.
  • Guide less experienced team members in all facets of Client Service operations.
  • Provide constructive feedback based on performance metrics of Client Service Specialists.
  • Manage all service-related inquiries to fulfill the needs and requests of Wealth Management clients.
  • Handle new business processing for client accounts, including onboarding tasks and ongoing account maintenance.
  • Organize and verify various financial transactions among client accounts.
  • Prepare essential documents such as annual retainers, initial financial plan agreements, Investment Advisory Agreements, Investment Policy Statements, and other relevant documentation.
  • Collaborate with Wealth Advisors to ensure accurate billing specifications are established for client accounts.
  • Collect, review, and submit portfolio tax information to clients and their accountants.
  • Oversee client performance reporting, ensuring reconciliation of statements with reports and capturing any new accounts.
  • Maintain client accounts, including opening and closing accounts, preparing transfer forms, and updating client information; often liaising directly with clients based on account complexity.
  • Utilize extensive knowledge to resolve service-related issues for client accounts.
  • Assist senior team members with trading client accounts as necessary.
  • Process client wire transfers efficiently.
  • Generate client communications to facilitate account setup and address client inquiries.
  • Compile and submit quarterly and ad-hoc reports to clients through their preferred communication method.
  • Ensure all client files and documentation comply with MAI standards and update any necessary documents.
  • Maintain and update CRM lists for various communications and alerts.
  • Collaborate with Operations to establish client accounts or implement necessary changes to maintain account integrity.
  • Lead projects as required.
QUALIFICATIONS
  • Bachelor's degree or equivalent experience.
  • Over 7 years of client service experience in the financial sector, including brokerage or banking.
  • Proven ability to work with high-net-worth individuals with intricate account structures.
  • Demonstrated capability to onboard and train new Client Service team members.
  • High proficiency in Microsoft Office applications, including Excel, Outlook, Word, Adobe, and PowerPoint.
  • Strong analytical skills with a solid understanding of account structures and investments.
  • Experience with CRM systems.
