Job Summary:
The Office Assistant plays a crucial role within the administrative team, delivering vital support to facilitate seamless operations in a dynamic commercial property management environment. The ideal candidate will exhibit exceptional organizational skills, attention to detail, and the ability to juggle multiple responsibilities effectively. We are looking for individuals who are enthusiastic and motivated to learn, as our client provides extensive training and ample resources to ensure your success.


Key Responsibilities:

  • Act as the primary point of contact for the office, welcoming visitors and managing incoming phone calls.
  • Assist in scheduling and managing calendars for property managers.
  • Coordinate maintenance requests and liaise with service providers.
  • Oversee the inventory of office supplies and place orders as needed.
  • Support the drafting of lease agreements, reports, and correspondence.
  • Manage mail distribution and oversee outgoing shipments.
  • Maintain organized filing systems for property-related documents and records.
  • Assist in coordinating property viewings and meetings.
  • Perform data entry and update property management software with precise information.
  • Provide general administrative assistance to the team as required.

Qualifications:

  • High school diploma or equivalent; additional education such as an Associate's or Bachelor's Degree is advantageous.
  • Minimum of 1 year of office experience, or a degree in lieu of experience.
  • Proficient in MS Office Suite and capable of learning property management software.
  • Experience with Yardi is a plus, but not mandatory.
  • Excellent communication and interpersonal abilities.
  • Strong organizational skills with the capacity to multitask.
  • Dependable and professional with a customer-oriented mindset.
Pay Details: $47,000.00 to $49,000.00 per year
