Job Title: Office Manager/Administrator

Job Summary:

Coldstream Wealth Management is seeking a highly organized and detail-oriented Office Administrator to support our clients and wealth management teams at our Portland office.

This is an excellent opportunity to utilize your administrative skills and learn about the financial services industry.

The successful candidate will be responsible for providing exceptional customer service, managing front desk and administrative operations, and supporting the wealth management teams with tasks such as scanning, uploading, and downloading documents.

Key Responsibilities:

  • Provide a great first impression for clients, visitors, and vendors
  • Answer incoming phone calls and direct calls to appropriate team members
  • Manage all incoming and outgoing mail and deliveries
  • Plan and execute events for team members and clients
  • Order office and kitchen supplies and manage annual supply budget
  • Manage expense reporting for the leads of both wealth management teams
  • Deposit incoming checks
  • Open and close the office daily and keep kitchen and conference rooms organized and neat
  • Provide support to the wealth management teams

Requirements:

  • 2 years of administrative experience in a professional office environment
  • High school diploma or equivalent; Bachelors or Associates degree is preferred
  • Proficiency with Microsoft Office, including Outlook/calendaring, Word, Excel, and PowerPoint
  • Ability to communicate courteously, discreetly and effectively with a wide variety of people
  • Ability to organize and prioritize workflow in a dynamic work environment
