Sight & Sound Systems, Inc. is seeking a dedicated Part-Time Administrative Coordinator to join our dynamic team. Position Overview

This is a part-time, on-site position for an Administrative Coordinator based in Sterling, VA. The selected candidate will report to both the Sales Coordinator and the Sales Account Manager. This role requires close interaction with the Sales team to efficiently collect, track, and communicate all sales inquiries from home builders. The coordinator will also be responsible for scheduling and confirming sales meetings, maintaining records, assembling project portfolios, and performing various additional tasks as required.

Core Responsibilities:

  • Work hours are from 10 AM to 4 PM, Monday through Friday.
  • Oversee and manage all incoming sales inquiries from home builder representatives, ensuring effective tracking and communication.
  • Welcome and assist visitors attending sales meetings, addressing or directing their inquiries as necessary.
  • Handle incoming phone calls, ensuring proper forwarding and capturing detailed messages when needed.
  • Promote team collaboration by documenting and sharing activities, noting any discrepancies, and highlighting ongoing needs.
  • Assist customers with inquiries related to projects and services, ensuring prompt and accurate responses.
  • Collaborate with the Sales Manager to assess new client meeting requests before assigning them to a Sales Associate.
  • Organize and confirm sales consultations for the team using specialized software.
  • Maintain the reception area’s appearance and manage the provision of refreshments in the showroom.
  • Provide regular updates on project status to the Sales Manager and team members.
  • Compile and organize project-related materials, including visual aids and layout designs.
  • Perform additional tasks as assigned by the Sales Manager.

Qualifications

  • High school diploma or equivalent; higher education or associate degree preferred.
  • Valid driver's license and reliable transportation.
  • Demonstrated experience in an administrative support role.
  • Familiarity with office management systems and procedures.
  • Proficient in the Microsoft Office suite and internet applications.
  • Excellent typing skills and experience with office equipment such as printers and telephones.
  • Strong time management skills with the ability to prioritize tasks effectively.
  • Attention to detail and strong problem-solving capabilities.
  • Exceptional written and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
