Administrative Coordinator

Adecco is assisting a Fortune 500 client in recruiting for an Administrative Assistant in Los Angeles, CA. This is a full-time Direct Hire position in Los Angeles, CA.
As an Administrative Assistant, you will be responsible for providing high-level administrative support to the GVP and Director's office. This includes managing complex calendars, coordinating travel arrangements, and ensuring the smooth operation of the office.
Key Responsibilities:
- Manage the GVP and Director's calendars, ensuring efficient flow of information and coordination with other executive-level admins.
- Perform general office duties, including secretarial support, record-keeping, and maintenance of confidential files.
- Coordinate the use of major conference rooms and equipment, ensuring seamless operations.
- Act as liaison between department managers and staff, handling meetings, documentation, and activities requiring authorized action.
- Take authorized action in the absence of the GVP and Director, ensuring minimal disruption to operations.
- Work independently on projects, with minimal supervision, and create presentations, documents, and reports using PowerPoint and Excel.
- Compose memos, letters, and correspondence for the GVP and Director's review and signature.
- Coordinate travel arrangements, including ground transportation, hotel accommodations, and itinerary planning.
- Screen communications to the GVP and Director, channeling and facilitating communication from customers and associates.
- Interface with the Board of Directors and their support staffs, ensuring appropriate flow of information and meetings.
- Resolve facility issues as necessary.
Requirements:
- High school diploma or GED
- 3-4 years of Administrative Assistant experience
- Excellent written and oral communication skills, including advanced proofreading, editing, and grammar skills
- Excellent telephone skills
- Ability to type 60+ words per minute accurately
- Proficiency in Microsoft Office, including Word, Excel, and PowerPoint
- Ability to multi-task and prioritize tasks, with frequent interruptions, without direction
- Ability to use discretion in handling confidential information
- Attention to detail
- Ability to meet deadlines
- Ability to work as a key team member with a diverse group of professional staff
