Job Title: Administrative Coordinator

At Ascend, we are seeking a highly skilled and detail-oriented Administrative Coordinator to join our property management team. As an Administrative Coordinator, you will play a critical role in supporting our team with periodic reporting responsibilities, customer service, and administrative tasks.

Key Responsibilities:
  • Provide direct administrative support to the Director, Operations and Chief Engineer, including data entry, record-keeping, and correspondence.
  • Serve as the main point of contact for service requests from tenants, ensuring timely and efficient resolution.
  • Ensure compliance with insurance requirements among tenants, contractors, vendors, and suppliers, documenting incidents of potential liability.
  • Code and split invoices based on cost centers and services performed, preparing bill backs and re-bills for special tenant requests.
  • Assist in management audits, preparing files and records for review.
  • Internal and external correspondence, including creating, maintaining, reviewing, and purging files in accordance with company record retention policy.
  • Update and file all documents for vendors and tenants, ensuring contract and lease administration files are accurate and up-to-date.
  • Maintain and update tenant contact databases, organizing departmental meetings and travel arrangements.
  • Manage the new tenant welcome and orientation program, revising and distributing updated property manuals as needed.
  • Process all aspects of accounts receivable, obtaining completed W-9 forms from vendors, and negotiating office equipment leases and maintenance agreements.
Requirements:
  • 2+ years of previous Coordinator experience, with commercial real estate experience a plus.
  • Highly proficient in Microsoft Word, Excel, and Outlook.
  • Professional, reliable, flexible, and positive attitude, with excellent attention to detail and customer service skills.
  • Ability to communicate well in both written and verbal forms, with a proactive attitude and willingness to take on additional responsibilities.
