Job Overview

The Smithsonian Astrophysical Observatory (SAO) is seeking an Administrative Specialist within the Atomic and Molecular Physics Division (AMP). This role is pivotal in overseeing and managing the financial operations associated with grant-funded research initiatives.

Key Responsibilities
  • Administrative Coordination: Oversee all administrative functions for the AMP division, including personnel management, travel arrangements, procurement processes, scheduling, and grant administration.
  • Proposal Management: Engage in the planning and preparation of research proposals for funding opportunities, ensuring compliance with sponsor specifications and coordinating necessary documentation.
  • Grant Administration: Serve as the Authorizing Officer for all grants, managing budgets, tracking expenditures, and ensuring compliance with funding requirements.
  • Financial Oversight: Monitor division-wide finances, assisting leadership with long-term planning through financial analysis and projections.
  • Account Reconciliation: Conduct monthly reconciliations to ensure accurate allocation of salaries and expenses across projects.
  • Human Resources Coordination: Manage human resources tasks, including employee onboarding and timekeeping.
  • Executive Support: Provide administrative support to principal investigators, coordinating meetings and workshops.
Qualifications

Candidates should possess a minimum of one year of specialized experience in a similar role or hold a Ph.D. or equivalent doctoral degree. A combination of education and experience is also acceptable.

  • Strong analytical and communication skills, with the ability to handle sensitive information discreetly.
