Job Summary

This critical role supports the HR team at the YMCA of Southwest Florida, a leading nonprofit organization dedicated to strengthening community through youth development, healthy living, and social responsibility.

Key Responsibilities
  • Assist with job postings on applicant tracking systems and targeted job boards, including web and social media platforms.
  • Screen initial candidate applications and conduct phone interviews.
  • Support hiring managers with reviewing applications, scheduling interviews, and conducting reference checks.
  • Manage the hiring and onboarding process for new employees, ensuring accurate documentation in the online onboarding system.
  • Track hiring status, generate reports, and present findings to managers.
  • Initiate background screenings, monitor compliance, and ensure accuracy of new employee information in the HR Information System.
  • Maintain accurate filing systems and ensure compliance with applicable requirements.
  • Enter employee-related documentation, including certificates and training information, into the HRIS.
  • Provide exceptional customer service as the first point of contact for employees in assigned regions.
  • Field initial questions from employees regarding employment-related matters.
  • Run reports and distribute notifications as directed.
  • Monitor and maintain office supply inventory, name badges, business cards, and other essential items.
  • Offer general office support to the HR team.
Requirements
  • Prior experience in a related field is preferred.
  • Experience with HR Information Systems is also preferred.
  • Must be highly organized, detail-oriented, and able to prioritize tasks effectively.
  • Ability to work efficiently, manage repetitive tasks, and maintain a high level of self-motivation.
  • Strong team player with excellent written and verbal communication skills.
  • Ability to use sound judgment and recognize when to escalate matters to a supervisor.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • General understanding of employment law is preferred.
  • Ability to meet Association policies on background screening.
  • Additional training classes as recommended by the supervisor.
Work Environment and Physical Demands

Usual office working conditions with typical noise levels. The employee will frequently sit, communicate, reach, and manipulate objects, tools, or controls. Minimal physical exertion is required, with occasional lifting of materials weighing up to 10 pounds. Manual dexterity and coordination are necessary for operating equipment such as computer keyboards, mice, calculators, phones, and similar machines.
