Job Overview

Position Summary:

HireVenture is in search of a meticulous Billing Coordinator to enhance our Accounting Department. This role is pivotal in managing the billing cycle, ensuring that invoicing and collections are executed with precision and punctuality. The Billing Coordinator will be responsible for gathering data, generating invoices, and delivering exceptional customer service while collaborating with various teams to uphold accuracy and address any discrepancies.

Key Responsibilities:

  • Generate detailed invoices and statements, accurately reflecting amounts owed for services provided.
  • Work closely with the Purchasing, Service, and Sales teams to ensure prompt billing of service work orders.
  • Reconcile completed work orders within Salesforce to create customer invoices, utilizing source documents such as quotes, emails, technician notes, and vendor invoices.
  • Address and resolve discrepancies in billing records, collaborating with team members across the organization as necessary.
  • Manage collections on overdue accounts and maintain communication with clients to relay or gather account information.
  • Deliver high-quality customer support, responding to inquiries regarding account and billing information.
  • Input customer invoices into designated customer portals as required.
  • Handle incoming calls and direct them to the appropriate personnel.
  • Perform additional related tasks as assigned by management.

Qualifications:

  • High school diploma or GED, or one to three months of relevant experience and/or training, or an equivalent combination of education and experience.
  • Proficient in Microsoft Office Suite; familiarity with Salesforce is advantageous.
  • Exceptional attention to detail.
  • Able to thrive in a fast-paced environment and manage multiple tasks effectively.
  • Strong customer service and communication abilities.

Supervisory Responsibilities:

  • This position does not entail supervisory duties.
