About the Role

We are seeking a highly skilled and experienced Executive Assistant to join our Nursing Administration team at ChristianaCare. As a key member of our team, you will provide administrative support to our Vice President, Patient Care Services, and other staff members as required.

The ideal candidate will have a strong background in secretarial and administrative work, with excellent communication and organizational skills. You will be responsible for coordinating the overall endeavors of the department, ensuring confidentiality and discretion in all matters.

Key Responsibilities:

  • Provide secretarial support to the Vice President, including attending meetings, taking and typing minutes, composing agenda, drafting and typing correspondence, and scheduling meetings.
  • Maintain up-to-date filing systems and screen incoming calls and take accurate telephone messages.
  • Schedule and manage executives' calendars using email calendar systems and provide all pertinent information needed for scheduled appointments.
  • Anticipate the Vice President's needs and provide assistance to ensure the manager is prepared for daily activities.
  • Screen correspondence and mail, sort and prioritize, and bring items for immediate action to the Vice President's attention.
  • Provide assistance to the Department managerial staff to achieve pre-determined goals and objectives for the Department.
  • Greet visitors, ascertain the nature of their business, and escort or direct them to the appropriate individuals.
  • Schedule meetings, including notifying attendees, reserving rooms, arranging meals and refreshments, equipment, and other support materials.
  • Prepare requisitions and maintain supply inventory and materials, check receipts for incoming materials, and process invoices for payment.
  • Makes travel reservations, orders tickets, makes and confirms lodging and airline reservations, and prepares travel advance and expense reports.
  • Maintain time and attendance information for the department, including timekeeping for payroll.
  • Audit and maintain monthly budget sheets for accuracy.
  • Perform assigned work safely, adhere to safety rules and practices, and report any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients, and visitors.

Requirements:

  • High school diploma or equivalent required.
  • Completion of a program in secretarial science or related field preferred.
  • Four years of clerical or secretarial experience.
