About the Role

We are seeking a highly skilled and detail-oriented Executive Assistant to provide comprehensive support to our senior executives at Jobot. This is a fully remote role that offers a great opportunity to work with a mission-based organization that promotes the field and profession of philosophy.

Key Responsibilities
  • Provide high-level administrative support to executives, including managing complex schedules, meetings, and travel arrangements.
  • Coordinate and manage projects, ensuring that all tasks are progressing as planned and meeting deadlines.
  • Prepare comprehensive reports, presentations, and documents for executive meetings and client engagements.
  • Manage budgetary matters, including the preparation of budgets, tracking of expenses, and preparation of financial reports.
  • Act as a liaison between executives, clients, and team members, ensuring effective communication and prompt resolution of requests and queries.
  • Maintain a high level of confidentiality and discretion at all times.
  • Assist in the preparation and coordination of events and client meetings.
  • Perform other related duties as assigned, demonstrating flexibility and adaptability to changing workloads and responsibilities.
Requirements
  • Proven experience as an Executive Assistant or similar role, ideally within a nonprofit environment.
  • Excellent organizational and project management skills, with a proven ability to manage multiple tasks and projects simultaneously.
  • Strong communication skills, both written and verbal, with the ability to liaise effectively with all levels of staff and clients.
  • Proficiency in making travel arrangements, managing complex schedules, and coordinating meetings.
  • Experience in budget management and financial reporting.
  • Advanced proficiency in Microsoft Office Suite, particularly Excel and PowerPoint.
  • Exceptional attention to detail and a strong focus on accuracy.
  • High level of discretion and confidentiality.
  • Ability to work effectively under pressure and adapt to changing workloads and responsibilities.
  • Degree in Business Administration or a related field is preferred.
