Job Summary

We are seeking a detail-oriented Contract Administrator to support our contract management process at Norm Reeves Auto Group. The successful candidate will be responsible for ensuring accuracy and compliance with company policies and legal requirements.

Key Responsibilities
  • Contract Administration: Assist in drafting, reviewing, and finalizing contracts and agreements under the guidance of senior staff.
  • Maintain Accurate Records: Maintain accurate records of all contracts, including amendments, extensions, and terminations.
  • Ensure Compliance: Ensure all contracts comply with company policies and legal requirements.
Document Management
  • Organize and Maintain: Organize and maintain physical and electronic files for contracts and related documents.
  • Retrieve and Provide: Retrieve and provide requested documents to internal stakeholders and external parties as needed.
  • Ensure Confidentiality: Ensure confidentiality and security of sensitive contract information.
Communication and Coordination
  • Point of Contact: Serve as a point of contact for contract-related inquiries and communications.
  • Collaborate with Departments: Collaborate with internal departments, including legal, finance, and operations, to facilitate contract processes.
  • Schedule Meetings: Assist in scheduling meetings and appointments related to contract negotiations and reviews.
Contract Review and Analysis
  • Initial Reviews: Conduct initial reviews of contracts to identify key terms, obligations, and deadlines.
  • Prepare Summaries: Prepare summaries and reports on contract status, milestones, and upcoming renewals.
  • Identify Risks: Assist in identifying risks and opportunities associated with contract terms and conditions.
Compliance and Reporting
  • Monitor Compliance: Monitor contract compliance and deadlines to ensure timely renewals and adherence to obligations.
  • Prepare Reports: Assist in preparing periodic reports on contract performance and metrics.
  • Support Audits: Support audits and reviews of contract documentation as required.
Administrative Support
  • General Support: Provide general administrative support to the legal and contracts team, including data entry and filing.
  • Prepare Correspondence: Assist in preparing correspondence, presentations, and other documents as needed.
  • Perform Special Projects: Perform other duties and special projects as assigned by management.
Qualifications
  • Education: High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • Experience: Proven experience in contract administration or a related field is a plus.
  • Skills: Strong organizational and time management skills, attention to detail and accuracy in data entry and document management, excellent communication and interpersonal skills, proficiency in Microsoft Office suite (Word, Excel, Outlook).
  • Ability: Ability to work independently and collaboratively in a team environment.
