Position Summary:

This role presents a distinctive opportunity to serve as the Executive Assistant to C-Suite Executives within a dynamic warehousing and logistics organization.

Key Responsibilities:

The primary administrative duties encompass, but are not limited to:

  • Calendar Management: Ensure the President's schedule operates seamlessly by coordinating meetings, conferences, teleconferences, and travel arrangements.
  • Meeting Coordination: Organize and prepare for meetings, including agenda creation, PowerPoint presentation development, and maintaining pristine meeting environments while taking detailed minutes.
  • Communication Management: Oversee incoming correspondence, prioritize effectively, and respond on behalf of the President when necessary.
  • Data Analysis: Conduct research to compile insightful reports and presentations.
  • Gatekeeping: Act as the primary liaison between the President, employees, clients, and business partners.
  • Expense Management: Oversee executive expenses, ensuring compliance with company policies.
  • Confidentiality Maintenance: Handle sensitive information with the highest level of discretion.
  • Project Support: Assist with special projects and initiatives that contribute to organizational success.
  • Office Administration: Ensure an organized office environment by maintaining orderly files, managing supplies, and ensuring equipment is well-maintained.
  • Event Coordination: Plan and execute monthly recognition lunches, team-building events, holiday parties, and company picnics.
  • Corporate Culture Initiatives: Manage nominations and awards for Employee of the Month and Year, support wellness programs, and assist the President and leadership team in fostering a positive workplace culture.
  • Marketing Collaboration: Work alongside the External Marketing Team to ensure timely project delivery and follow-up.
  • Perform additional duties as assigned.

Qualifications and Skills:

  • A minimum of 5 years of demonstrated experience as an executive assistant or in a comparable administrative capacity
  • Bachelor's degree or equivalent professional experience
  • Familiarity with DOT regulations is preferred
  • Advanced skills in MS Office Suite (Word, Excel, Outlook, PowerPoint)
  • Exceptional organizational and time-management skills
  • Ability to work with a high degree of discretion and maintain confidentiality at all times
  • Strong multitasking capabilities with the ability to keep projects on track
