Job Summary

We are a patient-centric medical spa and health practice seeking a highly skilled and organized Front Office Coordinator to join our team at ChromePMS. As the first point of contact for our clients, this role involves ensuring efficient front office operations and providing exceptional client service.

Key Responsibilities
  • Client Interaction:
    • Greet clients warmly and create a welcoming atmosphere.
    • Address all general communication with clients in a prompt and professional manner.
    • Schedule and confirm appointments.
    • Provide clients with information about services, treatments, and promotions.
  • Administrative Duties:
    • Maintain accurate and up-to-date records in our Aesthetic Record system.
    • Process payments, manage cash drawer, and balance daily financial transactions.
    • Prepare and update daily schedules for staff and treatment rooms.
    • Order office and treatment supplies as needed.
  • Customer Service:
    • Address client concerns and complaints with professionalism and escalate to management when necessary.
    • Ensure client satisfaction and communicate professionally at all times.
    • Promote and upsell medical spa and wellness services and retail products to clients.
  • Facility Management:
    • Ensure the reception area, waiting room, and treatment areas are clean and tidy.
  • Team Collaboration:
    • Work closely with the owner, medical professionals, aestheticians, and other staff to ensure seamless client service.
    • Assist with special events, promotions, and marketing activities as required.
Qualifications
  • High school diploma or equivalent; additional education in office administration or hospitality is a plus.
  • Previous experience in a front desk or administrative role, preferably in a medical spa or similar environment.
  • Proficient in computer skills and familiar with scheduling software.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and handle a fast-paced environment.
