Senior Administrative Coordinator Job Overview

  • Proactively managing the executive's calendar, ensuring efficient use of time by screening and addressing routine and complex communications.
  • Overseeing the preparation and analysis of various financial documents, including budget reports and operational summaries.
  • Engaging with senior leadership and external partners to deliver high-level administrative support.
  • Facilitating compliance and governance documentation for departmental requirements.
  • Organizing and coordinating high-stakes meetings and corporate events.
  • Providing specialized knowledge and expertise in administrative functions.
  • Maintaining organized documentation systems, both physical and digital, for team efficiency.
  • Composing detailed correspondence, presentations, and analytical reports.
  • Participating in cross-departmental administrative initiatives and committees.
  • Offering guidance and oversight to administrative teams and temporary staff as needed.

Mandatory Qualifications

  • A minimum of 5 years of relevant experience in an administrative capacity.
  • Expertise in Microsoft Office Suite and familiarity with company-specific software and procedures.
  • Strong interpersonal skills with the ability to manage relationships across various organizational levels.
  • Proficiency in Microsoft SharePoint and Teams.
  • Exceptional verbal and written communication skills.

Preferred Qualifications

  • Experience in the Oil & Gas sector, particularly in Mid Stream operations.
