Position Summary:
We are in search of a highly efficient and detail-oriented Administrative Assistant to deliver extensive support to the Senior Vice President (SVP) of the Americas. The successful candidate will excel in juggling multiple responsibilities, possess outstanding communication abilities, and demonstrate meticulous attention to detail. This position will act as a crucial intermediary between the SVP and various internal and external parties.


Key Responsibilities:

  • Monitor and evaluate key performance indicators (KPIs) for the sales division, providing regular updates and reports to the SVP.
  • Assist the organization’s HR, Finance, and Legal departments with their operational needs.
  • Manage administrative functions, including scheduling meetings, overseeing calendars, and handling correspondence on behalf of the SVP.
  • Plan and coordinate logistics for trade shows and other significant events.
  • Organize and oversee proposals (scope of works) for clients.
  • Review and reconcile expense reports, ensuring adherence to company policies.
  • Oversee procurement and supplier systems for our clients, ensuring compliance and addressing inquiries or concerns.
  • Ensure proper handling and storage of company information, documentation, and equipment.
  • Assist in updating company manuals, policies, and other essential documents.
  • Support special projects and initiatives as directed by the SVP, utilizing strong problem-solving skills and attention to detail to achieve successful results.
  • Maintain confidentiality of sensitive information and exercise sound judgment in managing confidential materials and communications.

Qualifications:

  • Bachelor's degree in business administration, communications, or a related discipline is preferred.
  • Demonstrated experience providing high-level administrative support to senior executives in a dynamic environment.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
  • Outstanding written and verbal communication skills, with a strong focus on detail and accuracy.
  • Ability to work independently with minimal oversight while also being a key member of a collaborative team.
  • Flexibility to adapt to shifting priorities and navigate complex situations with professionalism.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software tools.
