Position Overview

As a Senior Administrative Coordinator, you will provide essential support to the Sales and Marketing leadership team. Your role will encompass event planning and communication for both customers and employees, directly aiding ENGIE Resources' sales team spread across various locations. Your responsibilities will include managing travel arrangements, expenses, and organizational tasks for around ten leaders in sales and marketing. You will oversee front-office expense management utilizing COUPA procurement software, focusing on purchase orders and invoice management. By effectively planning and executing front-office activities, you will alleviate the administrative workload for sales and marketing personnel.

Key Responsibilities
  • Oversee administrative tasks such as calendar management, meeting organization, travel logistics, and preparation of correspondence for internal and external stakeholders.
  • Maintain and update user lists, vendor agreements, and purchase orders via COUPA for marketing and subscription services, ensuring timely and accurate invoice payments.
  • Plan and execute internal and external events, negotiating with vendors and managing logistical details for sales and marketing staff participation.
  • Coordinate travel and logistics for annual Sales Kickoff meetings, including venue selection, budget oversight, and on-site support.
  • Monitor and report on employee training objectives to enhance completion rates, and assist with seating arrangements for hybrid work schedules.
  • Implement and manage sales and marketing performance incentives, coordinating related administrative tasks.
  • Act as the on-site liaison for event-related issues, ensuring smooth setup and teardown for annual gatherings.
Qualifications
  • Associate degree in Business Administration or a related field is required.
  • A minimum of five years of administrative experience, including at least two years supporting executive-level administrative duties and coordinating travel and event logistics.
  • Experience in contract review, vendor management, and collaboration with legal support is essential.
  • Proficiency in developing and implementing administrative workflows and processes collaboratively.
  • Exceptional oral and written communication skills, with the ability to present ideas professionally.
  • Ability to maintain progress on multiple projects while adapting to changing priorities.
  • Familiarity with Coupa, Concur, and Microsoft 365, with strong analytical skills and effectiveness in project teams.
Additional Information
  • This position is eligible for a hybrid work arrangement.
  • Attendance at a worksite is required on a rotational basis.
  • Compliance with all ENGIE ethics and safety policies is mandatory.
Compensation

Salary Range: $53,900 - $76,125 USD annually

This range represents the average expected pay for a qualified candidate. Actual salary may vary based on factors such as geography, experience, industry knowledge, education, and internal pay alignment.

In addition to base pay, this position is eligible for a competitive bonus.
