About the Role

We are seeking a highly skilled and experienced Executive Office Coordinator to join our team at HirefinderRPO. As an integral part of our operations, this role will be responsible for providing administrative support to partners and other personnel.

Key Responsibilities
  • Prepare proposals, engagement letters, financial statements, and other reporting documents using Word and Excel.
  • Assist in packaging client tax folders and filing tax documents.
  • Assist in the hiring process for administrative personnel.
  • Update and develop office policies and procedures.
  • Manage firm social media and prepare outgoing correspondence to clients, vendors, and others.
  • Schedule appointments for partners and update their calendars and contacts.
  • Maintain the daily upkeep of partners' offices.
  • Assist with billing and general office duties such as filing, ordering supplies, and answering phone calls.
  • Prepare bank deposits and balance petty cash.
  • Oversee the maintenance and organization of the office and grounds.
Requirements
  • A minimum of seven years of experience in a professional office setting, including supervisory experience.
  • High proficiency in Microsoft Office (Outlook, Word, and PowerPoint).
  • Excellent oral and written communication skills.
  • Interpersonal skills, phone presence, teamwork, ability to work independently, exercise judgment, prioritize tasks, and organize efficiently.
  • Advanced proficiency in Word and experience with Excel and other spreadsheet applications.
Benefits

This role offers a competitive salary range of $60,000 - $80,000 per year, commensurate with experience, along with opportunities for growth and professional development within our dynamic team.
