Job Summary

SGA INC is seeking a highly skilled Senior Documentation Specialist to join our team. As a key member of our organization, you will be responsible for reviewing and sorting documents, preparing documentation for electronic filing, and providing support with document provision and retrieval.

Key Responsibilities
  • Document Review and Sorting: Review document folders in boxes and sort documents, log/track files, scanning, copying, and filing.
  • Documentation Preparation: Sort and prepare documentation, removing staples, paper clips, etc., scan source documents, and electronically file them in the allocated location.
  • Document Support: Provide support with document provision, printing, scanning, retrieval, and assembly.
  • Central Repository Management: Maintain a central repository for electronic documents.
  • Mailbox Monitoring: Monitor group mailbox on a daily basis.
  • Document Prioritization: Prioritize and process documents according to the designated workflow procedure.
  • Tracker Management: Maintain GPSE trackers and obtain updates as needed.
  • Source File Management: Adhere to source file sign-in/sign-out process as required.
  • Work Area Maintenance: Ensure work area is presentable with all necessary stationery and material.
  • Information Provision: Provide basic and accurate information in-person and via phone/email within the scope of job responsibilities in response to inquiries.
  • New Team Member Support: Provide support for orientation and onboarding of new team members on the project.
Requirements
  • Education: Minimum high school diploma; secondary education in business administration, pharmacy, nursing, or life science degree preferred.
  • Experience: 23 years of experience in administrative support; pharmaceutical experience preferred.
  • Technical Skills: Proficient with electronic systems, including Microsoft Office Suite, Microsoft Visio, Microsoft SharePoint, Adobe Acrobat, and Skype.
  • Soft Skills: Ability to handle and prioritize multiple priorities, self-starter with ability to work independently, ability to work effectively in a team environment, demonstrated strengths in verbal and written communication, time management, problem-solving, attention to detail, interpersonal skills, cross-cultural sensitivity, planning and organization, initiative, and accountability.
  • Physical Demands: Must be able to sit for long periods, must be able to stand for long periods while scanning, and must be able to lift boxes (if needed, approximately 10-20 pounds).
