About This Position

The Madison Metropolitan School District is seeking a highly skilled and organized Administrative Support Specialist Senior to join our team in the Department of Leadership Development.

Key Responsibilities
  • Manage and coordinate multiple projects simultaneously, providing timely support to the Senior Executive Director of Professional Leadership and PD users.
  • Oversee the Title IIA Grant, ensuring accurate DPI ESEA reporting of time and effort.
  • Manage the PD sub-calendar process, ensuring seamless coordination and communication.
  • Administer the electronic MMSD PD Catalog/Process, including registration, proposal, offerings, calendar, surveys, and phone support for instructors and participants.
  • Maintain the PD Website, ensuring current and accurate PD program and initiative information.
  • Assist with MMSD PD scheduling, processes, logistics, paperwork, registration, attendance, presenter accommodations.
  • Process purchase requisitions and generate reports for Educator Effectiveness and LETRS implementation and completion.
  • Coordinate additional clerical support during high-volume work periods.
  • Process contracts for Leadership Development and reconcile P-cards for the Leadership Development Department.
  • Coordinate conference registration, reimbursements, and travel logistics for large groups.
  • Schedule space at Holtzman and show potential PD facilitators around the building.
  • Be available during scheduled events at Holtzman to assist with setup, technology, and other needs.
  • Act as the Venue Manager, serving as the point of contact for Holtzman and coordinating building activities.
Support to the Senior Executive Director of Professional Leadership
  • Manage clerical-related phone, email responses, and customer service.
  • Schedule appointments, team meetings, and manage the calendar.
  • Run, organize, and prepare budget reports.
  • Generate individual and aggregate course survey result reports.
  • Assist with presentation preparation.
  • Prepare drafts and send PD communications through email and other outlets to multiple audiences.
  • Provide input for continuous Departmental improvement.
