Job Summary

The Assistant Property Manager plays a key role in the day-to-day implementation of our policies, procedures, and programs, ensuring a well-managed and well-maintained property. This position is located in Tampa, FL, and requires a strong focus on customer relations and property management.

ResponsibilitiesCustomer Relations and Property Management
  • Develop and maintain positive customer relationships through responsive quality service and effective communication.
  • Participate in customer move-ins and move-outs, ensuring a smooth transition.
  • Coordinate and assist with customer events, receptions, and orientations.
  • Meet regularly with customers to communicate building current events and solicit feedback.
  • Prepare customer engagement programs to maintain satisfaction with building amenities and services.
  • Oversee the property website, ensuring accurate and up-to-date information.
  • Perform property inspections to identify risk management liabilities and develop the capital improvement plan.
  • Prepare property status reports, building inspection reports, tracking reports, correspondence, and files.
  • Assist in managing contracted services for property maintenance, including competitive bid and selection processes.
  • Act as liaison between service providers and Property Management.
Property Accounting
  • Assist in preparing the operating budget, including revenue, expenses, capital plan, and operating expense management.
  • Work with Property Managers to prepare monthly financial reports, such as accruals, budget variance reports, and forecast reports.
  • Review and approve monthly recurring billing and miscellaneous billing.
  • Reconcile monthly invoices of major service providers to ensure accuracy and prepare reports for billing.
  • Understand methods of calculating operating expense prorate shares and prepare and review calculations.
  • Responsible for reviewing and approving invoices and working with the Administrative Manager on accounts receivable and collection activities.
Leasing
  • Administer leases on matters pertaining to contractual performance, including leasehold rights and landlord and customer obligations.
  • Prepare rental commencement letters and lease required notices.
  • Review lease abstracts provided by Lease Administration.
  • Support the Leasing team by preparing vacant space and participating in tours.
  • Review lease draft language from counsel to incorporate property-specific terms.
Requirements
  • A minimum of 2 years of commercial property management experience.
  • Prior commercial real estate office management experience is strongly preferred.
  • Bachelor's degree is preferred.
  • A high school diploma is required.
  • Valid driver's license is required.
  • Must work well with others and interact positively with customers, possessing excellent verbal and written communication skills.
  • Must be detail-oriented, well-organized, and able to manage time and multiple projects efficiently to achieve the required result.
  • Proficient use of Microsoft Office suite, property management software, web-based software systems, and electronic file organization in a shared server environment is required.
  • Must be able to define problems, collect data, establish facts, and draw valid conclusions.
  • Responsiveness is essential, with a focus on meeting the needs of others and responding to solve problems.
  • Customer service is paramount, with a focus on delivering optimum customer service while performing all job functions.
