Job Summary

We are seeking a highly skilled and experienced Financial Coordinator to join our team at the Alabama Department of Education. The successful candidate will be responsible for coordinating all aspects of the system budget preparation and maintenance of budget controls, administering and supervising all receipts and disbursements in conformity with policy and administrative procedures, and preparing all journal entries as required for proper financial reporting purposes.

Key Responsibilities

  • Assist with the preparation of all Alabama State Department of Education reporting requirements.
  • Oversee and/or retain proper files of records to justify, interpret and support all financial transactions for auditing, accounts payable, local schools, and other purposes.
  • Ensure that comprehensive records are kept of all receipts and expenditures in conformity with the laws and policies of the Alabama State Board of Education, Department of Public Examiners, the federal government and the Board of Education.
  • Provide supervision over other school system business and finance departments to provide oversight and responsibility for all general accounting functions.
  • Oversee and monitor all financial data for local schools to ensure all procedures are correctly adhered to and interfaced into the general ledger accounting system.
  • Assist Central Office administration and Principals with questions concerning budgets, allowable use of funds, etc. Serves as point of contact for Principals.
  • Assist with the selection, training, and supervision of financial personnel.
  • Provide assistance and training to accounting staff personnel.
  • Provide technical assistance for CNP accounting.
  • Assist as assigned with the evaluation of designated accounting personnel.
  • Assist with monitoring banking and investing activities.
  • Assist in long range financial planning.
  • Supervise the accounting of fixed assets.
  • Responsible for annual Form 1099 and W-2 preparation.
  • Administer the fiscal aspects of employee benefits program in accordance with current law and regulations.
  • Maintain appropriate confidentiality regarding school/workplace matters.
  • Demonstrate initiative in identifying potential problems and/or opportunities for improvement in areas of responsibility.
  • Reports potential problems, unusual events, or work irregularities to appropriate administrative or supervisory personnel.
  • Responds to inquiries, requests, constructive feedback, concerns and/or complaints in a timely and positive manner.
  • Maintains and submits reports, records, and correspondence in a timely and accurate manner.
  • Properly uses and cares for equipment and material resources of the school system and effectively supervises and monitors others in the care, maintenance, and use of equipment and inventory.
  • Serves as needed on committees, tasks forces, or other representative bodies to assist with planning, decision-making, or reporting for the school system.
Requirements
  • Bachelor's degree or higher from an accredited college or university with a concentration in business administration, accounting, finance, or closely related field.
  • Three years of professional experience in accounting, preferably within a public school system or other governmental agency.
  • Receive CSFO Certification from the Alabama State Department within three years of the date of hire and maintain this certification by fulfilling continuing education requirements.
  • Ability to meet suitability criteria for employment and/or certification/licensure under the Alabama Child Protection Act of 1999 and Act No.
  • Knowledge of generally accepted accounting principles and procedures and their application to basic accounting transactions.
  • Extensive working knowledge of general office software including spreadsheets, word processing, flowcharts, and databases.
  • Knowledge of the Alabama State Department of Education accounting manual and McAleer/CSI accounting system preferred.
  • Demonstrated proficiency in oral and written communication skills with the ability to effectively present information to management and public as requested.
  • Effective interpersonal skills, with an emphasis on communication and collaboration with a wide variety of people and groups.
  • Ability to identify and solve problems as a productive team member.
  • Ability to read, analyze, and interpret data, use technology to perform job responsibilities.
  • Physical strength, mobility, dexterity, stamina, and acuity to perform job responsibilities. Extended amounts of time at the computer and keyboard expected.
  • Ability to be punctual and in regular attendance.
