Role Summary

The Purchasing and Shipping Coordinator plays a crucial role in sourcing and dispatching essential materials to ensure seamless operations across Vytelle's network, which encompasses owned labs, partner labs, joint ventures, and logistics facilities. This position demands effective communication with vendors to ascertain product availability, track order statuses, and relay timely updates to various departments regarding their material requests.

Key Responsibilities
  • Vendor Relations: Establish and nurture relationships with vendors to facilitate prompt order fulfillment.
  • Documentation Management: Collect and manage necessary shipping documentation to ensure compliance and accurate record-keeping.
  • Purchase Order Execution: Accurately process purchase orders within the Business Central platform, ensuring precision in item descriptions and units of measurement.
  • Cross-Department Collaboration: Work closely with the Finance department to align procurement processes with financial protocols.
  • Sales Order Management: Ensure accurate processing of sales orders and maintain proper inventory records.
  • Backorder Management: Identify and engage alternative vendors during supply chain disruptions to minimize delays.
  • Communication: Maintain ongoing correspondence with requesting departments to provide updates on order statuses and delivery timelines.
  • SOP Compliance: Adhere to unique standard operating procedures for partner labs to ensure proper shipping practices.
  • Logistics Documentation: Generate necessary shipping documents, including Commercial Invoices, Bills of Lading, and Certificates of Origin.
  • Quoting and Cost Analysis: Consult with logistics providers to compare pricing and service levels for domestic and international shipments.
  • Active PO Management: Regularly review and update purchase orders to reflect current statuses in the MRP software.

Qualifications
  • Bachelor's degree in Business, Administration, or a related field.
  • Proficient in Microsoft Office Suite, particularly Word and Excel.
  • Familiarity with procurement and shipping processes.
  • Minimum of two years of experience in purchasing and/or shipping preferred.
