Role Summary

The Purchasing and Shipping Coordinator plays a crucial role in procuring and dispatching essential materials to ensure seamless operations across Vytelle's network. This encompasses all Vytelle-owned laboratories, partner facilities, joint ventures, and other locations. The coordinator must maintain constant communication with vendors to monitor inventory levels, item code changes, shipping timelines, and more, ensuring that all departments are informed of material availability.

Key Responsibilities
  • Vendor Relations: Establish and nurture relationships with vendors to facilitate prompt delivery of requested products.
  • Documentation Management: Collect necessary documentation from laboratories for all shipments to ensure compliance and accurate record-keeping.
  • Purchase Order Execution: Accurately process purchase orders in our Business Central platform, ensuring correct item descriptions and units of measurement.
  • Collaboration with Finance: Work closely with the Finance department to align on procurement processes and enhance the procure-to-pay structure.
  • Sales Order Management: Execute sales orders within the appropriate Business Central environments, ensuring accuracy in item descriptions and locations.
  • Backorder Management: Identify and utilize backup vendors during supply chain disruptions, coordinating with the QC department as necessary.
  • Communication: Maintain ongoing updates to requesting departments throughout the purchasing and delivery process.
  • SOP Compliance: Stay informed about the unique SOPs of partner laboratories to ensure adherence during shipping.
  • Logistics Documentation: Generate required shipping documents (CIs, BOLs, PLs, COOs, etc.) as part of the shipping process.
  • 3PL Coordination: Consult with logistics brokerages for domestic and international shipments, comparing prices and service requirements.
  • PO Management: Ensure that only active purchase orders are reflected in our MRP software.

Skills and Qualifications
  • Bachelor's degree in Business, Administration, or a related field.
  • Proficient in Microsoft Office Suite, particularly Word and Excel.
  • Understanding of procurement and shipping processes.
  • Two years of experience in purchasing and/or shipping preferred.
