Key Responsibilities:

  • Assess purchase requests and supplier quotations to guarantee that materials and services are sourced from qualified vendors as listed in the approved vendor directory.
  • Request quotes for materials and select commercial suppliers that fulfill the vendor selection criteria for the goods being procured.
  • Negotiate pricing for all non-standard acquisitions.
  • Analyze inventory levels to ascertain stock requirements before placing orders.
  • Optimize shipping and material expenses by reviewing ordering strategies.
  • Create purchase orders that align with material needs, budget constraints, and project timelines.
  • Ensure all necessary documentation (drawings, technical specifications, test plans, etc.) is communicated to the supplier.
  • Engage with suppliers to monitor delivery timelines and expedite or escalate issues as needed.
  • Collaborate with the Receiving department to ensure materials are prioritized and accurately entered into the ERP system.
  • Address material and documentation discrepancies with suppliers to facilitate the completion of material receipts.
  • Reconcile purchase orders with supplier invoices and collaborate with Accounts Payable for payment processing.
  • Manage returns and coordinate with suppliers to replace, repair, or rework any defective materials promptly and follow up on credits.
  • Maintain the ERP inventory system to ensure the accuracy of item part numbers and descriptions.
  • Update procurement activities in the project management system.
  • Evaluate supplier performance by monitoring on-time deliveries and deficiency reports.
  • Lead supplier meetings as necessary to support customers, project teams, and management.
  • Participate in kick-off and material planning meetings for complex projects as required.
  • Capable of addressing a variety of challenges with diverse scope and complexity.
  • Ability to effectively assess and implement continuous improvement principles and methodologies.

Qualifications and Requirements:

  • Familiarity with DOD and DOE regulations (ITAR, NN801, DPAS, etc.).
  • A minimum of 2 years of experience in a manufacturing or industrial setting with a solid understanding of manufacturing processes.
  • Exceptional verbal and written communication skills.
  • Adept at working with urgency and meeting deadlines.
  • Detail-oriented, analytical, organized, and adaptable to shifting priorities.
  • High quality of work with minimal errors.
  • Proficient in Microsoft Office Suite, ERP systems, and project management tools.
  • Education: Minimum of an associate's degree with 3 years of experience or 5 years of experience in procurement functions.
