Overview:

The Patient Access Supervisor is accountable for overseeing the daily functions of designated areas within the department. This role involves assisting the Patient Access Director in maintaining comprehensive departmental reports and supporting various admission sectors, including Inpatient, Outpatient, Emergency Room, Day Surgery, Auditors, and Customer Service. The supervisor ensures that staff are adequately trained and that performance targets are achieved. Additionally, this position is responsible for creating and managing work schedules for team members and overseeing time-off requests.

Key Responsibilities:

  • Uphold consistency with administrative and departmental policies, demonstrating appropriate behavior, attire, attitude, attendance, confidentiality, professionalism, and reliability.
  • Monitor the operations of the registration area, ensuring adherence to policies and procedures for Inpatient, Outpatient, ER, and Day Surgery registrations.
  • Verify that criteria for Medicare/Medicaid, Champus, and other Third Party Payors are satisfied by physician orders for all outpatient, observation, and inpatient admissions.
  • Ensure that documentation for patient medical records is complete and accurate, including data entered into the hospital's computer systems or other mediums.
  • Achieve established goals for point-of-service (POS) collections in assigned areas.
  • Foster an environment that promotes exceptional patient satisfaction.
  • Encourage a workplace atmosphere that enhances Associate satisfaction.
  • Support a culture that prioritizes physician satisfaction.
  • Ensure compliance with relevant laws and regulations, promoting confidentiality among associates and in the handling of patient information.
  • Review Associate performance for recognition, evaluation, coaching, training, and necessary corrections, ensuring timely feedback and training for improvement.
  • Facilitate timely communication of information, expectations, and changes to Associates, while actively seeking their input.
  • Ensure appropriate staffing levels to meet patient needs and strive to exceed patient expectations, working within productivity guidelines.
  • Verify that insurance checks and precertifications are completed promptly to prevent denials, documenting these activities in patient accounts.
  • Meet patient safety goals, ensuring accurate information is recorded for each account in the hospital's computer systems.
  • Conduct periodic audits of departmental performance as assigned and report findings to the designated recipient.
  • Perform monthly petty cash audits, ensuring sufficient funds are available for daily operations.
  • Continuously seek improvements that enhance departmental operations, patient satisfaction, and Associate satisfaction.
  • Collaborate with other supervisory Associates to build a cohesive leadership team that anticipates needs and manages functions to minimize workflow disruptions.
  • Ensure Associates have the necessary equipment and supplies to fulfill their duties.
  • Perform various other tasks as needed to achieve departmental and facility objectives.
