Overview:
The Patient Access Supervisor is accountable for overseeing the daily functions of designated areas within the department. This role supports the Patient Access Director in the maintenance of departmental reports and assists in various capacities as required. The supervisor will coordinate the operations of multiple admission sectors, including Inpatient, Outpatient, Emergency Room, Day Surgery, Auditors, and Customer Service. Additionally, this position ensures that staff members are adequately trained and that performance objectives are consistently achieved. The supervisor is responsible for creating and managing Associate work schedules and overseeing time-off requests.
Key Responsibilities:
- Uphold consistency with administrative and departmental policies, demonstrating appropriate behavior, attire, attitude, attendance, confidentiality, professionalism, and reliability.
- Monitor the operations of the registration area, ensuring adherence to policies and procedures for Inpatient, Outpatient, ER, and Day Surgery registrations.
- Verify that criteria for Medicare/Medicaid, Champus, and other Third Party Payors are satisfied by physician orders for all outpatient, observation, and inpatient admissions.
- Ensure that documentation is thorough and accurate for patient medical records, including data entered into the hospital's computer systems or other mediums.
- Achieve established goals for point-of-service (POS) collections in assigned areas.
- Foster an environment that promotes exceptional patient satisfaction.
- Encourage a workplace atmosphere that supports high Associate satisfaction.
- Strive to maintain excellent relationships with physicians.
- Ensure compliance with relevant laws and regulations, promoting confidentiality among associates and in the handling of patient information.
- Review Associate performance for recognition, evaluation, coaching, training, and necessary corrections, ensuring timely feedback and support for improvement.
- Facilitate timely communication of information, expectations, and changes to Associates while seeking their input.
- Ensure adequate staffing to meet patient needs and aim to exceed patient expectations, working within productivity guidelines.
- Oversee insurance verification processes and ensure timely receipt of precertifications to prevent insurance denials, documenting these activities in patient accounts.
- Meet patient safety goals, ensuring accurate information is recorded for each account managed in the hospital's computer systems.
- Conduct periodic audits of departmental performance as assigned and report findings to the designated recipient.
- Perform monthly petty cash audits and ensure sufficient petty cash is available for daily operations.
- Continuously seek improvements that enhance departmental operations, patient satisfaction, and Associate satisfaction.
- Collaborate with other supervisory Associates to cultivate a cohesive leadership team that anticipates needs and manages functions to minimize workflow disruptions.
- Ensure Associates have the necessary equipment and supplies to fulfill their duties.
- Perform various other tasks essential to achieving departmental and facility objectives.
