Position Overview

The Administrative Operations Coordinator is accountable for executing clerical and administrative tasks across various operational sectors within the hub and station. This includes managing linehaul processes, overseeing records, ensuring quality assurance, and delivering exceptional customer service. The role involves addressing damaged and misdirected packages promptly to enhance delivery efficiency, acting as the primary contact for customers regarding a range of inquiries.

Key Responsibilities

  • Provide administrative support to management and operational teams, which encompasses tasks such as photocopying, filing, faxing, emailing, and handling phone communications.
  • Review, research, and input data into multiple systems to assist the relevant functional area.
  • Compile data and generate regular and ad-hoc reports for management's assessment and decision-making.
  • Act as the first point of contact for customer service, addressing, resolving, or escalating customer inquiries and concerns.
  • Support management in Business Control Self Assessment (BCSA) audit processes by gathering necessary data and files for evaluation.
  • Manage records-related duties, including maintenance, destruction, and inventory control.
  • Facilitate timely deliveries and minimize loss or damage by conducting address searches and corrections, ensuring packages are in optimal condition for customers.
  • Prioritize tasks to maximize the number of packages resolved and dispatched for delivery within the same day.
  • Ensure all packages receive the correct scanning statuses.
  • Inspect and manage hazardous material damages in accordance with established policies.
  • Account for all loose products as per company regulations.
  • Investigate missing packages to identify the root causes of scanning failures and compile information on disputed deliveries for management review.
  • Analyze and track loss and damage claims to identify incorrectly charged claims and report findings to management.
  • Review and enter all Independent Contractor (IC) settlement information into the appropriate systems to guarantee accurate payments.
  • Document settlement adjustments as directed by management.
  • Compile necessary documentation to establish and maintain Department of Transportation (DOT)-required files.
  • Verify timely log entries into the system.
  • Record individual vehicle mileage information and collaborate with ICs and Linehaul staff to resolve any discrepancies.
  • Monitor various metrics, including the IC chargeback program, complaints, and maintenance compliance, and prepare weekly reports for management review.
  • Serve as the initial contact for IC inquiries or issues related to settlements, uniforms, decals, etc., and route them to management for resolution.
  • Perform additional duties as assigned.

Minimum Education Requirements

  • High School Diploma or GED is required.

Minimum Experience Requirements

  • Prior experience in clerical or customer service roles is preferred.

Knowledge, Skills, and Abilities

  • Proficient in general business skills such as typing, data entry, and the use of phones, copiers, and fax machines.
  • Familiarity with software applications, including Microsoft Office and web-based tools.
  • Strong customer service skills to effectively and professionally address requests.
  • Excellent time management, organizational, and multitasking abilities to thrive in a fast-paced environment while maintaining high attention to detail and accuracy.

Compensation Transparency: This compensation range is provided as a reasonable estimate of the current starting salary range for this role across all potential locations. Actual starting pay will be determined by experience, market level, and other job-related factors permitted by law. Employees may be eligible for additional pay, premiums, or bonuses. The Company offers eligible employees health, vision, and dental insurance, retirement plans, and tuition reimbursement.

Compensation: $16.20/hr - $18.93/hr

Additional Information: The position schedule will be Tuesday-Saturday from 7:00 am to 12:00 pm. Candidates must be available to work various schedules, including weekends.
