Overview:

Under the guidance of the Lifespan Supply Chain Operations Leadership, the Supply Chain Operations Specialist is responsible for delivering exceptional customer service and operational assistance to caregivers and departments supported by the Supply Chain across all Lifespan facilities.

Lifespan employees are expected to embody the organization's mission of "Delivering health with care" and exemplify the core values of Compassion, Accountability, Respect, and Excellence in all interactions with patients, customers, and colleagues.

KEY RESPONSIBILITIES:

Ensures adherence to quality assurance and operational standards in line with established policies and objectives. Proactively identifies or anticipates issues and escalates them to the appropriate personnel for resolution.

Follows established protocols to guarantee a continuous supply of equipment and materials essential for Supply Chain Operations.

Depending on the designated area, performs various tasks including:

  • Counting, organizing, ordering, delivering, picking, packaging, storing, inspecting, and receiving equipment and supplies.

Maintains stock in assigned areas, ensuring cleanliness and organization, including storage rooms and systems. This encompasses overall organization of shelves, bins, carts, and clear labeling.

Places orders in accordance with established practices regarding par levels, reorder points, package sizes, units of measure, and reorder quantities.

Implements inventory management processes, including stock rotation and adherence to dated material policies (FIFO - First In, First Out).

Facilitates product recall and substitution processes, ensuring effective communication as necessary.

Acts on optimization reports as per established processes, including cycle counts, stock audits, and reconciliation of discrepancies.

Receives materials by verifying package or bin contents against packing slips, receiving slips, or purchase orders, while maintaining accurate records.

Organizes materials in their designated locations in a tidy and orderly fashion.

Delivers orders to various locations serviced by the Supply Chain within Lifespan facilities.

Unloads supplies from the loading dock using hand and electric lift trucks as required.

Delivers supplies using a vehicle that does not necessitate a commercial driver’s license.

Restocks patient and ancillary supply carts in designated areas.

Maintains stock levels within patient care areas, including essential items such as gloves and antiseptic wipes.

Engages with suppliers to confirm or expedite order deliveries and initiate vendor return requests.

Performs additional duties such as answering phones, relaying messages, conducting stock audits, maintaining a clean work area, and photocopying as needed.

May provide functional guidance and training to new employees regarding supply chain operations.

Other duties as assigned.

QUALIFICATIONS:

High School diploma or equivalent is required, or more than five years of relevant experience.

Ability to exercise independent judgment in daily operations.

Strong interpersonal skills to effectively represent Lifespan and the Supply Chain in interactions with all levels of personnel.

Proficiency in using distribution equipment, including electric pallet jacks and reach trucks.

Ability to comprehend and follow operational manuals for equipment usage and maintenance.

Numerical and clerical skills to check gauges, read charts, and prepare departmental records.

If driving is required, must maintain a valid driver’s license and a good driving record in compliance with federal regulations.

EXPERIENCE:

Three to six months of on-the-job training to develop supply chain competencies, including knowledge of applicable equipment and processes.

WORK ENVIRONMENT AND PHYSICAL DEMANDS:

Must possess the physical ability to stand and walk for extended periods.

Ability to lift, carry, push, and pull moderately heavy supplies and equipment (up to fifty pounds).

Exposure to outdoor elements and varying temperatures.

Potential exposure to contaminated items and strong cleaning agents; adherence to safety protocols and use of protective equipment is mandatory.

INDEPENDENT ACTION:

Operates independently within the framework of departmental policies and procedures, referring specific issues to Supply Chain leadership as necessary.
