Job Summary

We are seeking a highly skilled and experienced Administrative Assistant to join our team at Emory University. The successful candidate will provide administrative support to a Chair or Assistant Dean of an academic or basic research unit or for an Assistant Vice President or Assistant Vice Provost (and above).

Key Responsibilities
  • Provide administrative support with minimal supervision, including preparing budgets, grant applications, proposals, status reports, and financial statements.
  • Develop and maintain spreadsheets, initiate, process, and maintain records and invoices.
  • Keep manager informed of account status, authorize expenditures, and identify cost-effective alternatives.
  • Maintain calendar, prepare daily schedule, and prioritize meeting requests for manager(s).
  • Coordinate, attend, prepare materials for, and/or take minutes at meetings and special events.
  • Prepare charts and graphs for reports and presentations.
  • Review incoming correspondence and identify items of special interest to manager or others.
  • Compose, edit, and type correspondence, reports, and manuscripts under minimal guidance.
  • Maintain various databases and/or spreadsheets.
  • Set up and organize filing systems.
  • Answer, screen, and route incoming telephone calls.
  • May supervise or direct the work of other administrative clerical/secretarial employees.
  • Oversee ordering and maintenance of office supplies and forms.
  • May coordinate domestic or foreign travel arrangements.
Requirements
  • A high school diploma or equivalent, and six years of secretarial or administrative support experience, OR a bachelor's degree and one year of administrative support experience.
  • Proficient with word processing, spreadsheet, and presentation software applications.
Work Environment

This role will be granted the opportunity to work from home regularly but must be able to commute to Emory University on a flexible weekly schedule based upon business needs (report to office 2 to 3 days per week). Schedule is based on agreed-upon guidelines of department. This role requires residency in the state of GA. Emory reserves the right to change remote work status with notice to employee.
