Job Overview

Position Summary: The Administrative Services Associate I will undertake a variety of essential tasks at a client location. Responsibilities encompass typical office duties including but not limited to document handling, mail processing, scanning, hospitality, and front desk support. This role is dedicated to fulfilling client expectations as outlined in the agreement with Loffler Companies, Inc.

Key Responsibilities:

The following duties are crucial for the effective execution of this role, with reasonable accommodations available if necessary. Any additional tasks are assumed to be included in 'other related duties as assigned':

Document Handling

  • Prepare and package materials for shipping and distribution.
  • Utilize designated control systems to ensure job accuracy and inventory management.

Mail Processing

  • Receive, categorize, and deliver mail according to client specifications.
  • Prepare outgoing mail using the client’s mailing equipment.
  • Adhere to all postal regulations.

Document Production

  • Produce, finalize, and deliver documents based on user requests.
  • Employ provided software to schedule and bill for print jobs.
  • Assist with file editing and preparation for printing as needed.

Scanning Services

  • Scan original documents into designated client locations.
  • Process original documents according to client specifications.
  • Maintain high output levels and accuracy.

Front Desk Support

  • Answer phones, welcome clients and visitors, and perform other assigned duties.

Event Support

  • Set up conference and event spaces. Maintain cleanliness and stock meeting areas.

Delivery Services

  • Manage deliveries within and outside client locations.

Shipping & Receiving

  • Utilize shipping systems (UPS, FedEx, etc.) and client systems for receiving and shipping items.

Other related duties as assigned.

Qualifications:

  • Ability to work independently with minimal supervision.
  • Valid driver’s license and a clean driving record are required.
  • Ability to work effectively under pressure and meet deadlines.
  • Strong attention to detail and accuracy.
  • Effective written and verbal communication skills.
  • Basic proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong interpersonal and customer service skills.
  • Demonstrated leadership qualities including motivation and good judgment.
  • Organizational skills and flexibility in planning.

Education and Experience:

  • High School Diploma or equivalent is required.
  • Previous experience in customer service is preferred.
  • No specific industry experience is necessary.

Supervisory Responsibilities:

  • May be required to train and develop skills for potential supervisory roles.
