Role: Medical Practice Patient Representative (Clerical Assistant)


Nuvance Health is seeking a dedicated individual for a full-time position, working 40 hours per week with shifts scheduled between Monday and Friday, from 8:00 AM to 4:30 PM or 8:30 AM to 5:00 PM.


Job Summary: This role involves welcoming patients and visitors, managing appointment schedules, and providing accurate information to inquiries. The representative will oversee front desk operations to ensure efficient workflow and precise patient data entry. This position entails a variety of clerical tasks to support both administrative and clinical teams.

Key Responsibilities:
  1. Ensure the reception area is maintained, greeting all patients and managing check-in/check-out processes promptly. Verify patient demographics and insurance details for accuracy, and scan necessary documents.
  2. Confirm patient insurance coverage online or via phone, and collect co-pays and co-insurances as required.
  3. Post charges and co-payments, ensuring accurate data entry into spreadsheets.
  4. Provide necessary forms for patient completion, reviewing for accuracy, and alerting clinical staff when patients are ready.
  5. Schedule patient appointments and procedures, managing cancellations and confirming next-day appointments. Handle authorizations and complete required hospital documentation.
  6. Prepare charts for nursing staff in advance of patient visits and process medical record requests efficiently.
  7. Assist physicians by returning patient calls as requested, updating physician schedules, and communicating test results to patients.
  8. Complete and review disability and workers' compensation forms, obtaining necessary physician signatures.
  9. Maintain organized filing, charting, faxing, and other clerical functions essential for office operations.
  10. Handle all onboarding tasks, including sending welcome packets to new patients upon appointment scheduling.

  13. Perform additional duties as assigned.

Qualifications:
  • High School Diploma or GED required.
  • Minimum of 1 year of customer service experience is essential.
Preferred Qualifications:
  • 1+ years of experience in a healthcare setting.
Additional Information:

Required Skills: Excellent verbal and written communication skills.

Experience:
Minimum of six months in a related role.

Desired Skills:
Familiarity with Practice Management Systems, medical office experience, and proficiency in MS Excel.
