POSITION SUMMARY

As the Executive Secretary at Rookwood Properties, you will serve as the primary point of contact for visitors and callers, embodying the professionalism and friendliness of our organization. This position is crucial in fostering a welcoming atmosphere at our corporate headquarters while delivering essential administrative assistance to our team. The ideal candidate is detail-oriented, customer-focused, and capable of juggling multiple responsibilities with a positive demeanor.

Flexible working hours are available to accommodate various schedules.

Job Type: Part-time | Full-time

Compensation: $18.00 per hour

Expected hours: 30 hours per week

KEY RESPONSIBILITIES

  • Welcome visitors, clients, and vendors with a courteous and professional attitude.
  • Ensure common areas are maintained, clean, and presentable at all times.
  • Handle incoming phone calls and direct them to the appropriate departments or individuals.
  • Manage corporate-level mail and emails, both incoming and outgoing.
  • Organize and coordinate meetings, appointments, and conference room reservations.
  • Perform administrative duties such as filing, data entry, and correspondence management.
  • Draft and revise letters, reports, and other documents, ensuring grammatical accuracy.
  • Oversee office and kitchen supplies, including inventory control and ordering.
  • Assist in event planning, including scheduling meetings and coordinating logistics.
  • Provide general support to other departments as required.

QUALIFICATIONS

  • High school diploma or equivalent; additional training in office administration is advantageous.
  • Demonstrated experience as a Receptionist, Administrative Assistant, or similar role.
  • Familiarity with Property Management or Leasing is a plus.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) with the ability to learn new software.
  • Excellent communication and interpersonal skills, with strong proficiency in spelling, grammar, and punctuation.
  • Able to operate standard office equipment including personal computers, scanners, printers, and copiers.
  • Maintain a polished, professional appearance and a positive, approachable demeanor.
  • Ability to handle confidential information with integrity.
