Job Overview

The Sales Coordinator plays a vital role in ensuring that every guest experiences exceptional service by fostering a welcoming atmosphere. This includes greeting and acknowledging each guest, maintaining high standards, possessing solid product knowledge, and delivering all aspects of guest service effectively.

Key Responsibilities

  1. Deliver outstanding guest service by embodying hospitality and professionalism at all times.
  2. Ensure total guest satisfaction and handle all transactions ethically and legally.
  3. Implement and adhere to safety and security protocols to maintain a secure environment for both guests and staff.
  4. Build and maintain positive relationships with all associates to promote a collaborative work environment.

Essential Functions

  1. Provide administrative assistance to the Sales Department, supporting team members as needed.
  2. Manage department telephones, ensuring all incoming calls are answered promptly and accurately.
  3. Qualify and evaluate all incoming sales inquiries.
  4. Assist clients by offering information and addressing inquiries, exercising discretion in the absence of the Sales Manager.
  5. Maintain an adequate supply of sales and wedding kits for management.
  6. Prepare and proofread proposals and various documents for the Sales Department.
  7. Organize and maintain all sales files using an efficient filing system.
  8. Facilitate hotel reservations for the Sales Department and manage group block inventory.
  9. Ensure confidentiality of all hotel documents and maintain privacy during meetings and discussions.
  10. Foster effective communication within the Sales Department and across all hotel departments.
  11. Process guest amenity and gift certificate requests according to established procedures.
  12. Assist in the preparation of departmental and hotel reports as directed.

Additional Responsibilities

Adhere to Company Standards of Service as outlined for Auro Hotels, presenting a positive image to the public consistently. Perform all duties efficiently in accordance with established policies and procedures, treating guests, vendors, and colleagues with respect and professionalism.
